Meeting Minutes :: May 2012

General Membership Meeting Minutes

May 2, 2012

Meeting was called to order at 7:10 p.m.

Note to start meeting: The SOFTBALL team doing first annual pink night this Monday, May 10 at Glacier Peak, as a fundraiser for Seattle Cancer Care Alliance.

President

Grant Application: All the applications were distributed this week to coaches, advisors, team parents/captain etc. Bagpipers are a separate club so Johanna will be sure to email them.

We will be able to give out double the amount we gave last year. Approx. $30k. This will leave us with a good balance to start the next school year. This is the highest total in about five years. The Boosters gives away all the profits each year maintaining just enough of a balance to start the school year comfortably.

New Board Members Vote: Charlie Heffernan was nominated and voted in as President of Boosters for the upcoming school year. Sandra Jones was nominated and voted in as treasurer for the next school year. She will continue to handle the finances for the Boosters as she has for this year. We are still looking for secretary and vice president. If anyone has ideas please let us know. It may be necessary for us each to call the current members and ask them to fill position. We are hoping by next month’s meeting to have made some progress.

Last Booster meeting for this academic year is at Denise Parkers house on June 6.

ASB:

Johanna talked about end of year activities and still needs Booster help on for annual day and popcorn day. Dirk is prepared to help out.

Dirk has questions about gym and does the concession needs to be cleared out before summer? What does Boosters need to do? Will we have a place for storage? Johanna suggested contacting Mark McCartney. Dirk will do.

Johanna is working with a graphic artist on logo for center of floor and wall. She is also working to re-do the Otis on the wall. Gym will be complete by mid August.

New student kickoff at Sept 6th, starting at 5 not 7 and the PTSA would want to make more fun activity and wants to do BBQ but wanted to be sure this wasn’t a problem for Boosters, All agree that it is OK since it is not a sporting event.

Financial Report (Sandra): Website: Membership is $6911, up from last year

Concessions $4264, little less than last year

BBQ paid out to each class total $2400

Spirit Wear spent $3500 brought in $4600

Auction – net of $27,500

Committee Reports: nothing current to report, but need positions filled

Website: need one person

Concession: need one person

Spirit Wear: need one or two people

Membership: Trudy Taylor agreed to stay on and do this

Mary Grassley suggested Pat Hegarty send it out in Broadcast as to what positions we still need.

Misc.

Wrestling Team: Having a fundraiser on May 17th and a % of sales at Swirl will be donated. Money raised will help the wrestlers pay for summer camp. Denise Parker is trying to spread the word and get a lot of people to go to Swirl on May 17th from 5-8 pm. You must say you are there to support the wrestling team.

Basketball team: Mary Coon- on behalf of the basketball team is asking for the Boosters to advertise on the Booster blog. They are having an alumni/senior game and BBQ on June 9th. The money raised will help pay for 2 summer camps that Brian Fisher is holding the first two weeks in July. The team is planning on going to Dominican Republic in 2013 and will be costly. She will also like to borrow the grill and get info on where to purchase supplies like meat, buns etc. Dirk will arrange the use of the grill.

Auction Dates: Should we do earlier or later in the year? We need to consider mid winter break and when other school hold their auctions. What are the advantages for having it early?

Need some ideas to get more live auction items enticing the crowd. The teachers on stage were a big hit this year. We need to have more teachers or coaches involved and on stage getting people to bid. We also may want to consider having team players there in uniform walking around.

Booster Meetings: How can we get more attendance at Booster meetings? Perhaps have it at a different location provide refreshments, have a team night where we have team players come and bring their parents. Have coach or team parent come and talk about their club. Maybe the Boosters would feature speakers at the meetings.

Next meeting: Wednesday, June 6, 2012
