General Membership Meeting Minutes

November 2, 2011

Meeting was called to order at 7:08 p.m.

Sandra Jones welcomed everyone to the meeting, including all those that came to volunteer for the auction. We will hear a brief report from all the committees before heading right into planning for the auction.

Committees:

ASB: Johanna Phillips introduced herself to all the new members that have attended and explained. Johanna’s role is liaison between the school and Boosters. The Veterans Assembly is Tuesday, November 8. All are welcome to attend. Volunteers are still needed for the to help with the senior handprint wall on November 14th from 9:30 to 11:30. If available, contact Johanna.

The winter concession grants will be announced next week. All those that turned in an application are excited to hear if their group was selected.

ASB has been losing funds this year and the programs are suffering. Johanna realizes that all the ASB groups benefit from boosters club so she is doing what she can to get support for the auction. If Boosters needs any student volunteers then contact Johanna. She will get them involved.

Web Site: Krista, Jane and Kristin have spent a lot of time on the new website updating it with the new “auction” link. They are till looking for updated photos, especially from the drama department. They’d like to add a few testimonials from the groups that received grants for the 2011-2012 academic year.

Membership: Trudy reported that we have 99 memberships so far and more gold memberships this year than the previous year. We are pleased with the numbers and are still expecting more memberships.

Spirit Wear: Jane brought the new spirit wear she had ordered like hats, sweatshirts and t-shirts. We are anticipating them to be very popular. All will be available for sale for Christmas and at the basketball games. Just like last year, we will include a flyer in the holiday edition of the Piper. This was very profitable last year.

Auction: Cathy Reed reported on where we are with the auction so far. We have about 40 auction items and she is pleased with the progress. We’re still looking for large items as well as a storage facility to store these items. Cathy would also like to see some corporate sponsors.

We do not have an auctioneer yet but we are working on John Curley or another paid auctioneer. Brad Upton is still a possibility for entertainment.

Cathy just received all the mailing labels for all school families and the invitation that Trudy Taylor designed will be going out in the mail within a week. You can register for the auction via mail or online. She is anticipating a sellout (268 seats).

Suzanne Monson will work with Trudy’s design and use the “shooting for the stars” or a “celestial theme” and prepare the email reminders that will be sent out.

Auction Volunteers

We had several auction volunteers attend the meeting that had basic questions about the venue, overall plan etc. Several people signed up for “day of” tasks and we got a great decorations committee started. All of those people that signed up for the day of tasks will get together a few weeks before the auction to get their job assigned. The decorations committee will meet within a couple weeks at the Shoreline Center.

ACTION ITEMS:

• Get Decorations committee members together to go see the Shoreline Center

• Update the volunteer list with latest jobs that were filled
