Meeting Minutes :: March 2010

President:  Meeting called to order at 7:15 p.m. 

                       

Treasurer’s Report:   Mitch Coe

Spirit Wear profits as of 3/2/2010: $1482.78

Concession stand profits as of 3/2/10: $4672.40 ($700 more than last yr)

Disbursement:  $141.59 for each group that helped.  Works out to be:

Cross Country: $849.53 (6 events)

Junior Class: $566.35

Softball: $849.53

Senior Class: $707.94

Highland Dancers: $707.94

Hip Hop Team: $991.12 (7 events)

Fund A Need: currently at $840

           

Committee Reports:

Casino Night 2010:  No report

                 

Web Site: Working on how to get newsletter out.  Sending monthly newsletter to all members now.  Have consolidated databases for email list. Dirk will have Sandra Jones send the actual membership list to Jane/Kris.  Trying to sell some advertising on newsletters.  Blast emails for events go to all emails in all databases.  Newsletter goes only to membership (150 readership).   Event emails to 1500 people. 

Advertising banner now down the side of the site (instead of the top).  Working on a sponsor page which will list all sponsors throughout the year with links to their sites.

Site is now much more functional for people to go find info about current events.  Would like playoff info on site.

Some issues with registering for scot trot online (Shannon didn’t get button to accept waiver).  One person didn’t get confirmation email.  One member requested the ability to enlarge map of scot trot route on web site.  

 

Spirit Wear:  Ideas for next season: Jane looking at beanies, blankets, summer type shirts.  Suggestions: gloves; run ideas through Corey and leadership class before we pursue so there is clarification on who is pursuing what.  Want to get green sweatshirts for next year since green t-shirts were the most popular color.

                 

Membership:  No Changes

 

Booster Dance recap:  Dance was very successful.  About 68 people attended, which was four less than last year, but we made a profit of $2980, which is $1000 more than last year.  Everyone had a good time.  $140 went toward Fund A Need.  Had a great planning committee who came through with good planning, creating awareness within the community, procuring items for the silent auction and coming up with ideas to make it a success.  Many thanks to everyone who helped set up and run the event also.

 

Scot Trot:  First email reminder going out this weekend.  Display case going up for 2 weeks prior to event.  Suzanne presented“Prom Points”idea: giving students incentive to participate based on class level.  Will offer prom financial package.  Class with highest percent of race registrations will get $750 toward prom.  Second place will get $250.  Class senators liked the idea and they are in charge of getting out brochures.  Should we put a gauge in trophy case to get them going, so they can see it grow?  The award includes $500 from us; the rest from ASB.  Kids also get community service points for running/walking.  Kids who participate get credit for class, groups/activities, track, community service.  Kids who are volunteering for entertainment don’t get the prom points. 

      Press releases have gone out to every school.  Using images from last year.  Going to all news organizations and running clubs. 

      Registration deadline March 6 – price for adults goes up after that.  So far 15 registered online.  Having some issues with online registration.

      Will offer beverages to adult volunteers, but not food. 

      Altus Traffic bringing 8 people (all volunteers) – they’re very excited.  They are getting complementary breakfast.  Will get a photo of them. 

Nancy Wickstrom is coordinating route entertainment.  Drama has some costumes picked out already. 

Goal is 600 participants.  Last year had 400 register. 

Spirit points for elementary schools.  School with most points gets a trophy. 

Everything is ready for the breakfast.  Dirk will take the BBQ there on Friday before, with warmers and paper goods.  Need the rolls of plastic table covers.  Have all the volunteers they need.

                             

Old Business:

            “Ongoing” Fund recap:  Not sure we have the time and manpower to get it started this year, unless someone willing to volunteer the time to get the people together to get it started. 

 

New Business:

            Grant Applications.  We are preparing to send out grant applications for this year. Going to all clubs, teams, and groups.  Application goes to all advisors.  They request money for something they need. Need specifics on applications (lists of what is needed with costs).  Kira is coming up with ‘teasers’ for advisors to get them prepared.  Will send out first week of April, with application deadline mid to end of April.  Want to get all money disbursed before end of school year.  Suzanne concerned about teacher advisors getting laid off, so need apps to fall in conjunction with budget District is putting together.  Students, teachers or parent reps can write the grants.  Has to be signed by an adult. 

           

Plan to have Fund A Need for softball/baseball equipment/team shed go through next year.  Baseball team’s shed needs a lot of work.
